Description
Reporting directly to the CEO, the Executive Assistant provides executive, administrative, and development support. He/she serves as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO. The Executive Assistant serves as a liaison to the Board of Directors and senior management teams; organizes and coordinates executive outreach and external relations efforts; and oversees personal and special projects.
The functions of this position should be performed in several locations (corporate and private offices). Occasional travel may be involved.
Responsibilities
- Assist the CEO with daily duties and complete a broad variety of tasks that include managing an active calendar of appointments, completing expense reports, composing and preparing correspondence, arranging travel plans, compiling documents for meetings and reviewing contracts.
- Communicate with staff on the CEO’s behalf and coordinate logistics with high-level meetings both internally and externally.
- Draft reports, letters of solicitation, proposals; prepare and coordinate oral and written communication with a variety of stakeholders.
- Support the CEO in his personal and family commitments.
- Coordinate executive & governance meetings, maintain confidential files and contact information; coordinate meetings, conferences, and committees both on and off site to support the CEO’s agenda.
- Provide assistance as needed to front desk operations to include but is not limited to, answering phones, accepting package and other deliveries, etc.
Requirements
- Bachelor’s degree or equivalent experience.
- Young, dynamic and with a huge sense of responsibility.
- Excellent management, time-management, and problem-solving skills.
- Strong interpersonal skills and the ability to build relationships with stakeholders, board members, etc.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
- Excellent writing, organizational, and research skills.
- Proven experience providing support for upper-level management in a related organization.
- Proficiency in Windows, including MS Word, EXCEL and PowerPoint.
- Ability to work independently and with professional discretion.
- Driver's license.
- Advanced level of Spanish and good level of English. Catalan is nice to have.
